Terms & Conditions of Apartment Rental

Acceptance of these Terms & Conditions of Apartment Rental binds a contract between THE RENTER and VCA VIENNA CITY APARTMENTS® ( herafter VCA ). Please read them carefully before confirming your booking.



0. GENERAL INFORMATION


  • All apartments are located on the beletage at Schotterning 33, 1010 Vienna, about 10m above street level.
  • A modern elevator (6 persons) is available after a short flight of stairs. The apartments are not accessible by wheelchair.
  • For security reasons the entrance door of the building is locked. Guests receive an electronic door code upon arrival.
  • A video surveillance system is available for monitoring the public areas and entrance halls.

  • JUNIOR, KING and ART Suites have a KING-SIZE BED ON THE BASE LEVEL overlooking a quiet inner courtyard.
  • PRINCESS and QUEEN Suites have a KING-SIZE BED ON A LOFT AREA overlooking the Ringstrasse.
  • The ART Suite offers both Ring and Courtyard views.

  • All apartments come with a fully equipped kitchen.
  • All apartments have a bathroom with toilet and shower.
  • A bathtub is available in JUNIOR N°1 and KING N°8 only.
  • All KING Suites have a second junior bathroom and a second toilet.
  • All KING Suites offer an extra king-size pull out bed for children.
  • The ceiling height of rooms is 4 meters.

  • 2. PAYMENTS


    THE AMOUNT OF THE PRE-PAYMENT DEPENDS ON THE DURATION AND THE LEAD TIME OF THE RESERVATION

  • For reservations of 7 NIGHTS OR MORE, 50% OF THE RENTAL PRICE is due at the time of booking.
  • For reservations of 6 NIGHTS OR LESS, THE TOTAL PRICE is due at the time of booking.

  • If a reservations is made LESS THAN 60 DAYS PRIOR TO ARRIVAL, THE TOTAL PRICE must be paid at the time of booking.
  • Once a reservation has been confirmed by VCA, the guest is obliged to pay the balance of the rental price 60 days before moving into the property. Non-payment by the due date will be treated as a cancellation and the deposit will be forfeited.

    VCA accepts payments by bank transfer and credit card payments by Master Card, Visa and American Express.

    In order to avoid credit card fraud the following rules apply:

  • The same credit card used for payment must be physically presented at check-in.
  • Otherwise, guests may not be allowed to check in.
  • Should the reservation be paid for by a third party (e.g. as a gift or for business travel), payment must be made by bank transfer.
  • No reservation may commence without full payment being cleared.

    All guests will receive a tax invoice upon arrival.

  • Invoices will only be handed out after the credit card used for payment has been physically presented.
  • In case a PDF invoice is needed prior to arrival, please pay by bank transfer only.
  • Only in this case VCA can send a PDF copy of your invoice by e-mail.


  • 3. (FREE) VIP AIRPORT TRANSFER


    PICKUP FROM THE AIRPORT IS FREE OF CHARGE FOR RESERVATIONS

  • of minimum 5 nights and
  • being made DIRECT on our own website or by direct phone call.
  • All other clients will receive the same quality of service at a low flat rate.
    VCA STRONGLY RECOMMENDS THIS SERVICE, BEING MOSTLY OF BETTER QUALITY THAN A REGULAR TAXI.

  • The driver takes you - without any hustle - direct to the property.
  • In case of delay the driver will wait for 2 hours without extra charge.
  • The operating companies offer English speaking drivers and current limousines like BMW, MERCEDES and others.

  • The client will advise VCA of:

  • the flight details (flight number, departure airport and the time of arrival in Vienna), and
  • the car size needed, especially if the amount of luggage being transferred requires a MiniVan.


  • 4. DAILY CLEANING


    DAILY CLEANING IS INCLUDED ALL DAYS

  • However, cleaning may not be available on National Holidays.
  • Guests are expected to return the apartment in the same condition as received.
  • Cleaning costs exceeding the usual will be charged extra at the common hourly rates.


  • 5. CANCELLATION & CHANGING A BOOKING


    NEW IMPROVED CANCELLATION RULES FOR DIRECT BOOKERS (in effect from 2020-07-27)

  • NOW A RESERVATION CAN BE CHANGED UNTIL 48 HOURS BEFORE THE DAY OF ARRIVAL FREE OF CHARGE.
  • NO CANCELLATION FEE WILL BE CHARGED IF VCA IS INFORMED IN WRITING AT LEAST 48 HOURS IN ADVANCE.
  • ANY AMOUNT ALREADY PAID WILL BE CREDITED TO THE NEW RESERVATION.
  • THE ORIGINAL RESERVATION MAY BE MODIFIED ONE TIME WITHIN A PERIOD OF 24 MONTHS.
  • IN ANY OTHER CASE A CANCELLATION CAN ONLY BE MADE IN ACCORDANCE WITH THE TERMS BELOW:

  • If the period of rental can be re-booked, a refund for the period re-rented or the part thereof, less a cancellation fee of one night will be issued.
  • If any part of the rental period cannot be re-booked, the Renter will forfeit all monies paid for that period.
  • Likewise, there is no refund in case of force majeure and unforeseen events of any origin.
  • Non-arrival without notification of the client will be treated as cancellation after 24 hours.


  • 6. TRAVEL INSURANCE


    THINGS CAN CHANGE – CONSIDER TAKING OUT TRAVEL INSURANCE

  • Guests can take out travel insurace online VIA THIS LINK for travel in Austria for up to 31 days.


  • 7. NON-SMOKING


    SMOKING IS STRICTLY FORBIDDEN IN ALL ROOMS AND ALL PUBLIC AREAS OF THE BUILDING

  • A cleaning fee of 300 EUR will be charged if smoked inside apartments.
  • Smoking may be cause for the guest's tenancy to be abruptly halted without refund of payments.


  • 8. BOOKING CONFIRMATION


    VCA WILL ALWAYS CONFIRM A RESERVATION BY E-MAIL

    Upon confirmation of the booking clients will be notified about the check-in procedure, the address of the property, the entrance door code, how keys will be obtained, how WiFi can be accessed, recommendations of restaurants and cafés nearby, as well as the name and a 24/7 assistance number of a contact person.



    9. PERSONAL VIP CHECK-IN


    ALL GUESTS WILL BE CHECKED IN PERSONALLY UPON ARRIVAL.

  • Keys will be handed out and the security system will be explained.
  • Everything you need to know about the apartment will be explained, including smart TV and Apple TV, Internet access codes, Nespresso machine, induction hub, temperture setting for the underfloor heating system, etc.
  • Guests will receive a map of the area with special hints how the subway system works, which tickets to buy, to nearby restaurants and cafés, supermarkets, banks, sights, and other valuable information about the area.
  • A VIP Club card will be handed out to direct bookers, giving access to reduced rates at selected partner companies, restaurants and cafés in the city center.
  • Any specific questions you may have will be answered.


  • 10. ASSISTANCE 24/7


    VCA RESPECTS THE PRIVACY OF ALL OUR GUESTS

  • Therefore no permanent reception is available.
  • WHENEVER NEEDED A 24/7 ASSISTANCE IS AVAILABLE BY PHONE, WHATSAPP, WECHAT OR TELEGRAM.


  • 11. CONDITION OF THE PROPERTY


    THE PROPERTY WILL HAVE BEEN INSPECTED PRIOR TO OCCUPATION

    Therefore the guest will undertake to:

  • Notify The Owner immediately with regard to any damage and/or maintenance issues that require attention.
  • Keep the Property and all furniture, fixtures, fittings, chattels and effects in or about the Property in the same state of repair and condition as found at the commencement of the Rental.


  • 12. DAMAGE DEPOSIT


    ON ARRIVAL, EACH APARTMENT WILL REQUIRE A DAMAGE DEPOSIT OF 300 EUR

  • A 300 EUR authorisation on your credit card is sufficient for this.
  • The damage deposit will be cancelled after check-out as long as there has been no damage to the property.

    The client agrees that any open balance must be paid prior to departure otherwise the client's credit card will automatically be debited for the outstanding accounts.



    13. PROVIDED FACILITIES


    EQUIPMENT AND FACILITIES ARE PROVIDED AT THE DESCRETION OF VCA

    Whilst every attempt is made to ensure that such equipment is in working order, should a breakdown or some other situation occur that renders non-essential element unusable, VCA does not take responsibility for replacing or refunding the guest for the lack of use of these equipment or facilities.

    The guest must report any inoperative or defective equipment to VCA promptly.

    VCA will make every reasonable effort to have repairs made as soon as possible. While every attempt will be made to ensure that all the advertised equipment and appliances are in working order at the commencement of a rental period, no reduction of rent will be issued for a failure of non-essential appliances.



    14. OCCUPANCY


    THE ACTUAL PRICE OF THE ACCOMMODATION IS BASED ON THE MAXIMUM NUMBER OF GUESTS PER APARTMENT

  • VCA will ask the number and names of occupants at the time the reservation is made.
  • Occupancy of the property is restricted to those names listed.
  • ANY CHANGE of number or names of occupants NEEDS THE EXPLICIT APPROVAL OF VCA (and possible additional payments).

    The person who booked is considered to be the Lead Renter and will assume full responsibility for all members of the group throughout the rental period. Information or instructions relating to this rental will be communicated to the Lead Renter only.

    All guests occupying an apartment are required to show a photo identification upon check-in. Only these persons are allowed to occupy an apartment. Disregarding the number of stated and agreed persons will result in immediate termination without refund, or a €100 per guest per night charge at the discretion of VCA.



    15. GENERAL BEHAVIOUR


    All guests are expected to conduct themselves with the same respect for the property and for their neighbors as they would in their own homes (MIDDLE-EUROPEAN STANDARDS ASSUMED).

    Loud, disruptive and unruly conduct may be cause for the guest's tenancy to be abruptly halted without refund of payments.

  • Parties and events are not allowed.
  • Guests must be quiet between 22:00 and 07:00.
  • Pets are not allowed.


  • 16. PHOTOS


    You are welcome to take photos of the apartments for private use and to share them with friends and family.

  • However, if you wish to publish such photos, written permission from VCA is required.
  • This applies to print media as well as any kind of online media such as Facebook, Instagram, TripAdvisor, SnapChat, Booking.com, and others.


  • 17. REFUNDS


    If a breakdown should occur to fundamental elements such as water systems, plumbing and electrical systems, and major appliances such as stove or refrigerator, every effort will be made to repair or replace, or an appropriate refund will be made for the inconvenience caused.

    This does not apply to system breakdown caused by misuse, such as plumbing blockages caused by inappropriate use of sanitary facilities.

    The Owner is not liable, nor will provide a refund, for any stoppage of electrical services caused by extreme weather or other circumstances beyond his control.

    Similarly, there will be no refund for force majeure and unforeseen events of any origin. This includes, but does not exclude other events of force majeure: Terrorist attacks, plane crashes, nuclear explosions, nuclear accidents, earthquakes, diseases, pandemics, storms of any kind, travel bans, war, war-like conditions, tidal waves and changes in water levels, conditions on neighbouring properties or disturbance by the natural elements of the place, such as flying insects or the animal population.



    18. LIMITED LIABILITY


    While VCA will do all possible to accommodate all clients' requests, VCA cannot be held responsible for situations which might affect apartment rentals, such as strikes, delay in arrival, failure of previous guest to vacate or other causes and conditions beyond our control.

    VCA is unable to accept responsibility for loss of luggage or valuables, and for injury or illness.

    There might be other occasions where problems arise. These must be reported to our office as soon as possible so that VCA has an opportunity to correct the problem. If unreported or reported after the stay has been completed, VCA cannot be held responsible for these incidents.

    Should VCA of necessity have to change a client's reservation we guarantee to offer an alternative accommodation of at least similar quality or the client will receive full refund.



    19. JURISDICTION


    In the event of controversy Austrian Law shall apply, all legal proceedings being held in Vienna, Austria. In order to prevent from misunderstandings it is herewith agreed that any exceptions from VCA's 'Terms of Apartment Rental' shall be made in written form only. Communication languages are English and German.
